  • Order and transaction information: Ticket purchases, registrations, donations, sponsorship inquiries, payment status, order history, ticket codes, check-in or scan status, refunds, and related event records. We do not store full payment card numbers. Payment card details are handled by our payment processor.
  • Mobile app information: Device type, operating system, app version, push notification tokens, authentication session information, app activity, diagnostic information, and similar technical data needed to operate and improve the mobile app.
  • Location information: If you allow location access in the mobile app, your device location may be used to show where you are on the event map and help you find nearby activities. You can control location access in your device settings.
  • Camera and photo information: The mobile app may request camera access so authorized users can scan event tickets. Ticket scanning uses the camera to read ticket codes. The app may request photo library access if you choose to add or update a profile picture.
  • Website and usage information: Information our systems or service providers automatically collect when you access the website or app, such as IP address, browser type, operating system, access times, pages viewed, referring pages, and general usage activity.
  • Communications: Messages, support requests, form submissions, email preferences, and other communications you send to us or receive from us.

3. Use of Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the Site or our mobile application to:

  • Create and manage your account.
  • Process ticket purchases, registrations, donations, payments, refunds, and event check-ins.
  • Send you email regarding your order or account status.
  • Send event updates, push notifications, reminders, service messages, and support responses.
  • Display tickets, schedules, maps, vendors, sponsors, and event information.

4. Mobile Permissions

The mobile app may ask for permission to use features on your device. Camera access is used for ticket scanning. Location access is used for map features when you choose to allow it. Photo library access is used only when you choose to select a profile image. Push notification permission is used to send event and account updates. You can change these permissions at any time in your device settings.

5. Third-Party Services

We use trusted service providers to operate our website, mobile app, payments, communications, authentication, hosting, maps, and event systems. These providers may process information on our behalf or according to their own privacy terms where applicable.

  • Supabase: Backend database, authentication, storage, and serverless functions.
  • Stripe: Payment processing for tickets, registrations, donations, sponsorships, refunds, and related transactions.
  • Brevo: Transactional and event-related email delivery.
  • Firebase Cloud Messaging: Push notification delivery and device token handling.
  • Google and Apple: Sign-in options and platform services where you choose to use them.
  • Apple Maps and device map services: Map display, location, and navigation-related features.
  • Cloudflare: Website hosting, security, performance, and network services.

6. Sharing of Information

We do not sell your personal information. We may share information with service providers that help us run Pistons & Props, process transactions, send communications, operate the mobile app, provide support, comply with law, protect rights and safety, or complete event-related services you request. We may also share limited ticket or registration information with authorized event staff so they can check tickets, manage attendance, and support event operations.

7. Data Retention

We retain information for as long as reasonably necessary to provide our services, maintain event records, comply with legal or accounting obligations, resolve disputes, prevent fraud, and support legitimate business needs. Retention periods may vary depending on the type of information and the reason it was collected.

8. Your Choices

You can update account information where account features are available, change mobile permissions in your device settings, opt out of non-essential communications when an unsubscribe option is provided, and contact us to request help with access, correction, or deletion of your information. Some records may need to be retained for event, security, legal, or transaction purposes.

9. Children's Privacy

Our website and mobile app are intended for general event audiences and are not directed to children under 13. We do not knowingly collect personal information from children under 13 without appropriate consent. If you believe a child has provided us personal information, please contact us so we can review and take appropriate action.

We use administrative, technical, and physical security measures to help protect your personal information.
